The current versions of the files you backup are retained indefinitely at the secure offsite storage facilities. Files that you delete from your computer, or older versions of files that you have modified are retained according to a retention policy that you set. By default Rhinoback keeps files that you have deleted for 7 days. If you deleted a file by mistake then you have 7 days to recover it before Rhinoback will release the space. You can increase the number of days that deleted and old versions of files will be retained, but it will increase your space requirements on the Rhinoback storage systems.

With Rhinoback, you have complete control over how long your deleted files and older versions of modified files are retained and available for you to restore. You can set the retention policy to any number of days, months, or years. In addition you have the flexibility to specify different retention polices for sets of files. You can also specify advanced retention policies for keeping end-of-month, end-of-quarter, end-of-year backups or any other periods that require special retention.

See "What is the data retention area? " for more information about the data retention area.

Does Rhinoback require a credit card?

Abstract:
Rhinoback requires a credit card for single backup accounts that are billed monthly. If your credit card has expired or if your bank has declined your credit card, Rhino USA will suspend your account. Note that before your account is suspended an email is sent to the email address associated with your account giving you at least 5 days notice. Suspended accounts may be deleted if payment is not received.

Invoice over 30 days past due - For business accounts that are invoiced rather than billed by credit card, if the invoice is more than 30 days past due, the account is subject to being suspended until payment is received.

Cancelled Account - If your account was cancelled, it will be suspended for a few prior to being deactivated.

Suspended accounts are not deleted. The data is retained as long as the account is in suspended status. Suspended accounts can be reactivated and all backup data will remain intact. If you believe your account was suspended incorrectly or if you want your account reactivated, please notify us as soon as possible. Once your account is deleted, it may not be possible to reactivate your account or retrieve your backup data.

To have your account reactived or to inquire about the reason for suspension, please contact us immediately at:

http://www.rhinoback.com/support/Support.aspx?area=3

or

call us 404-256-6800

Decrypting Files

Abstract:
Decrypting Files

Overview

All files that are stored on the Rhinoback storage systems are encrypted using an encryption key that is only known by the customer. If a customer has a large amount of data backed up and then has a major loss of data, then it can be faster to ask Rhinoback to offload the data onto a portable disk drive and ship it via overnight courier. Since Rhinoback only stores encrypted data and does not have the ability to decrypt the data, the data can only be shipped to the customer in encrypted form. This also protects against any cases where the portable disk drive is stolen or intercepted before it reaches the customer. The customer needs a way to decrypt the backup data once the portable drive or media arrives at their location.

Solution 1 - Decrypt files using the client Rhinoback Online Backup Manager software that is installed on the customers machine. The same software that is installed on the computer that was backed up can be used to decrypt backup data from offline media. If the software is not installed on the computer where you want to perform the restore, then download it from www.rhinoback.com/download/download.aspx. You may be required to enter the encrypting key when you start the software. If you are running Rhinoback Online Backup Manager version 5.2 or below you will find a "Decrypt Files Wizard" on the "Tools" menu. If you are running Rhinoback Online Backup Manager Version 5.5 or above, the "Decrypt Files Wizard" is accessed from the lock icon in the lower left area of the screen. Provide the information requested and your files will be decrypted to the specified location.

Soluton 2 - Use the Decrypt.bat script located in your Rhinoback "program files\bin" directory. The compression makes your backups and restores faster because fewer bytes of data are transmitted over the network. And data compression saves you money because you can backup up more data into the same space.

The amount of compression is expressed as a ratio of (original file size - comressed file size) / original file size . So if a 100,000 byte file is comressed to 30,000 bytes, then the compression ratio = (100,000 - 30,00) / 100,000 = 70%. In the above example the file was compressed 70% so the storage space needed is only 30% of the original file size. The data compression algorithms used by Rhinoback are lossless compression, meaning that no data is lost in the compression. When the file is decompressed, the file is an exact copy of the original version.

The actual amount of compression varies according to the contents of the files being compressed. Below are some ranges that are typical for various types of files:

Text files, Documents, Spreadsheets

75% - 85%

Programs, Executables, Dlls

20% - 30%

Databases, Exchange, SQL Server

50% - 80%

Pictures, Music, Movies, Zip files

0% (already compressed)

The mix of files on a particular computer will determine the overall compression ratio for the account. On average Rhinoback customers see an over all compression ratio of around 30% to 50%.

What is the Transfer Block Size?

Abstract:
What is the Transfer Block Size?

The Rhinoback Online Backup Manager transmits data in blocks instead of entire files at a time. This increases efficiency over transmitting entire files. The default setting of 128Kb is optimal for that backup operation in most cases. Since virtual machine HDD files are typically large files, this can require substantial down time and it is not practical for all situations. However, it should be noted that with Rhinoback, only the changed parts of virtual machine hard drive (HDD) file are backed up after the initial backup. These incremental delta backups substantially reduce the amount of time required to backup the HDD file.

Virtual machines can be backed up using Rhinoback while they are running as long as an Open File agent is in use. If the virtual machine is hosted on Windows 2003 Server, Windows XP, Windows Vista, or Windows 2008 Server, then the Volume Shadow Copy Service (VSS) that is provide as part of the operating system is automatically invoked. This means that virtual machines hosted on one of the supported windows operating systems can be backed up with Rhinoback while they are running. If the virtual machine is hosted on Linux or Mac machine, then a third party open file agent may be needed. If you are runing VMWare ESX, then you can use the snapshot module (VCBMonitor.exe), that is part of the ESX Server. Be aware that any method of backing up a Virtual Machine Hard Drive file (HDD or vmdk) while it is running will result in a backup that is essentially the same state as if the machine had been abruptly powered off. In most cases, this doesn't cause a problem, but some applications are not designed to handle this situation.

A third option, which is a safe compromise between the two options above, is to shut down or suspend the virtual machine just long enough to get a snap shot. The retention policy setting defines how long files in the retention area will be kept on the backup system before they are automatically removed from the backup system.

Retention policy will only affect “retained” files (i.e. files that have already been deleted or updated from your computer and thus are moved to the retention area of the backup system). For those files that have not been updated on your computer, the backup of these files is kept in the data area on the backup system and they will not be affected by the setting of retention policy. Only you or someone who knows your encryption key can access your data. Even employees and engineers at Rhinoback cannot see the contents of your backup data. Rhinoback allows you to set your own password, and you can also set your own encryption key for each backup set. You may choose to let your encryption key default to your password. In any case, your data is only as safe as the password and encryption keys that you set. Specifically, only the changed blocks in comparison the original file on the Backup Server (delta file) will be uploaded.

For each modified file, the Rhinoback Manager will determine whether the entire file or only a delta file (parts of the file) should be uploaded. If the entire file is to be uploaded, the old version of the file will be moved to the Retention area. Else if only the delta file is to be uploaded, the previous delta files will be moved to the Retention area and the Data area will contain the original full backup file, checksum file and the latest delta file of this file. The secondary array is located in the same data center so that your data can be replicated quickly with minimal network delays. In most cases your files are being replicated even before the backup job is complete. The secondary array provides protection against a catastrophic hardware failure in the primary storage arrays.

After your data is replicated to the secondary array storage area, it is then replicated again to an entirely different data center that is geographically separated from the main data center. The auxiliary data center is on completely separate Internet providers. Replication to the auxiliary data center provides protection against a major disaster at the main data center or any other event that makes the main data center location inaccessible.

All three storage systems, the primary, the secondary, and the auxiliary data center, utilize RAID array storage systems. All of Rhinoback's RAID storage systems are configured to be fault tolerant. A drive failure in any of our RAID systems will not result in loss of data, even in the array where the drive failed. In addition all of our storage systems contain hot spare drives that are immediately activated in the event of a drive failure. When a drive fails in an array, the array remains online with no i

Local Copy Destination does not exist!

Abstract:
[Local Copy] [Error] Destination=\\computer\c\backup\... does not exist!

This problem occurs when the "Copy to Local Hard Disk" option is enabled under "Local Copy" within a backup set and the "Copy to" path is not accessible.

If the "Copy to" path is on a network drive, then the network computer may be offline or other network problems may be preventing Rhinoback from accessing the network computer. This includes data previously backed up and also data that is backed up in the future for existing backup sets. Changing your password does not change the encryption key used to encrypt yoru data. If you cannot remember and cannot find your password, then you must follow these steps to ensure that you can restore and decrypt your data:

Use the above link to get a hashed copy of your password emailed to your email address.

Login to your Rhinoback manager software on your computer using the hashed password that was emailed to you.

Select Profile and change your password to something that you can remember or write it down.

Delete all backup sets where the encryption key defaulted to your old password.

I need to re-install Rhinoback, How can I re-install it?

Abstract:
You can re-install Rhinoback at anytime by downloading the software at:

http://www.rhinoback.com/Downloads/Download.aspx

Allow the installation package to run. This is usually because the computer has not been turned on or connected to the internet.

The Off-line backup feature allows you to specify that a computer is to be backed on a certain frequency, such as daily, but not necessarily at a particular time of day. For example, when a laptop computer is powered up or a connection the internet is established, Rhinoback can check and see if the computer is due to be backed up, and then perform a backup in the background. If the computer goes for too many days without being backed up, then the Off-line Backup Missed Reminder email is sent.

See: Backing up laptop computers using the Rhinoback Offline Backup Feature

Turning Off Email Notifications

Abstract:
Turning Off Email Notifications

Notification of the success or failure of your backup jobs is an important part of ensuring that your data is properly backed up and protected. Rather than completely turn off the emails, we recommend that you set up rules in your mail reader to automatically move the "succesful" notifications to a folder and keep the failed and missed backup messages in your inbox. Failed or missed backup jobs should be investigated and corrected.

If you do not want to receive the emails from Rhinoback indicating the success or failure of your backups, you can remove your email address from the Rhinoback Online Backup Manager software that is installed on your computer. It is very important that my QuickBooks data files are backed up. I am not sure if I have selected the correct location to backup. How can I find out where QuickBooks is storing my files?

Answer:

First locate your QBW files. One of the easiest ways to accomplish this is to open QuickBooks, login, and then use the File -> Open Previous Company selections on the Menu. QuickBooks will open the location where you have been saving your QuickBooks files. Make a note of the folder location where your QBW files are stored. Next open the Rhinoback Backup Manager software, select your backup set and then select Backup Source. Make sure the folder where your QBW files are stored is selected to be backed up.

If you think you may have stored QBW files in other locations, you can use the your Windows (or other OS) search function to search your hard drive for files that end with QBW and QBA.

You can also verify that your QBW files are being backed up by opening the Rhinoback Manager software. Select Restore, Select your Backup Set, and then in the right pane, navigate to the location where you have determined that your QuickBooks files are stored. If cannot find the folder or your files in the right pane under the Restore Source, then your files are probably not being backed up. Please follow the steps above to select the correct folders in your backup set so that your QuickBooks files will be properly backed up to the Rhinoback off-site storag

Can Rhinoback work with dial-up internet connections?

Abstract:
Can Rhinoback work with dial-up internet connections?

Yes, Rhinoback works with dial-up connections.

Windows can be set to connect to your ISP automatically when a backup starts. These ports are already allowed on almost every firewall for outbound connections. If your computer can access the internet, then it is also capable of using Rhinoback.

Rhinoback is designed so that the Rhinoback Manager software on the local computer contacts the backup servers to initiate a backup job. Since the connection is made from inside the firewall to the external backup server, most firewalls are already configured to allow this activity.

HIPAA Compliance

Abstract:
HIPAA Compliance

The Health Insurance Portability and Accountability Act of 1996 (HIPAA) applies to health care providers, health insurers, and health care clearing houses that store patient data electronically (Covered Entities). Online Backup service providers are not Covered Entities as defined by HIPAA. However, HIPAA does specify that Covered Entities must have data security standards ( the "Security Rule"). The Security Rule requires Covered Entities to have a Data Backup Plan and a Disaster Recovery Plan.

In addition to the Security Rule and it's Data Backup and Recovery requirements, HIPAA also requires that Covered Entities must implement certain technical safeguards which include the encryption of data. Since Rhinoback strongly encrypts data with the Advanced Encryption Standard (AES) before it leaves the clients computer, and stores the data in encrypted form at all times, Rhinoback provides an excellent capability for Covered Entities to meet these requirements.

There is no HIPAA certification for backup services, however, Rhinoback services provide Covered Entities with the privacy, encryption, and data backup capabilities they need to meet HIPAA compliance requirements.

Moving Rhinoback to a New Computer

Abstract:
Moving Rhinoback to a New Computer

When replacing an existing computer that is being backed up by Rhinoback. We recommend the following steps:

Step 1: Remove the schedules for the backup jobs on the old computer. See the example below:

Your old computer will need to be connected to the internet to perform this step. You must save your settings to the server so that the server will know that this backup set is not supposed to run in the future. If your old computer is not available or cannot be connected to the internet then see "Removing Settings from a Computer that is Not In Service"

Step 2: Install the latest version of the Rhinoback Online Backup Manager software on the new computer.

Step 3: Create a new backup set for your new computer.

Your new computer will need to be connected to the internet to perform this step.

a) Open the Rhinoback Online Backup Manager software on your new computer, and login using your Rhinoback Login Name and Password.

b) Select Backup Set on the main menu.

c) Select New -> File Backup Set

d) Give the new backup set a name that you will recognize, like: "New Vista Computer"

e) Follow the steps in the wizard to select files and set a schedule.

f) review your settings and set your retention policy.

h) Save your settings

Step 4: Remove Rhinoback from your old computer. If a scheduled backup job does not run for any reason, the Rhinoback servers at the secure offsite storage facilties will send an email notification to the email address associated with the backup account so that the owner will be aware that their backup job did not run. There are several reasons why a scheduled backup job may not run. Some of those include the following:

The computer is not connected to the Internet when the backup job is scheduled to run.

The computer is not powered on or is in a sleeping or hibernation mode.

The Rhinoback software has been deleted or otherwise removed from the computer.

The Rhinoback software has been disabled on the computer.

The "Run scheduled backup on this computer" in the Rhinoback Online Backup Manager software is not checked for the backup set you are being notified about.

Solution 1:

Use this solution if the backup should be running on the computer as scheduled.

Step 1: Make sure the computer is powered up and has connectivity to the Internet at the time when the backup job is scheduled to run. Check your operating system setup for power and energy saving settings. See the related articles below.

Step 2: Check and make sure the "Run scheduled backup on this computer" box is checked. See the example below:

Step 3: Reinstall the Rhinoback Online Backup Manager software. Download the latest version here.

Solution

Should I Allow My Encrypting Key to Default to My Password?

Abstract:
Should I Allow My Encrypting Key to Default to My Password?

I understand that my encryption key is never transmitted or stored on the Rhinoback system, but if I allow my encryption key to default to my password will Rhinoback then have my encryption key?

There is no compromise in security if you let your encryption key default to your password. Rhinoback does not actually store your password. Rhinoback only stores a hashed version of your password which is used to validate your login credentials. Encryption keys are based on the real password, not the hashed version of the password. Even if you let your encryption key default to your password, the encryption key needed to access your data is not transmitted to the Rhinoback servers and is never stored on the Rhinoback system.

Important: The hashed version of your password cannot be used to decrypt data. If you lose your password, the "forgotten password" page will only send your hashed password. Your actual password cannot be recovered, therefor your backup data cannot be encrypted. Please see this article about lost passwords.

Support for Windows Vista

Abstract:
Rhinoback Announces Support for Windows Vista

Rhinoback Online Backup fully supports the Windows Vista operating system. The latest release can be downloaded from this url:

http://www.rhinoback.com/downloads/download.aspx

2) Remove the information specified in the Network Resources Authentication for Windows section of the MS Exchange Server backup set.
